How to make an invoice

An invoice should make it immediately clear who is charging whom, what was supplied, when it was supplied and how much is owed. In the UK, GOV.UK lists specific information invoices must contain, including a unique identification number, supplier and customer details, a description, supply and invoice dates, amounts charged, VAT where applicable and the total owed.

1. Add your business details

Enter the name and contact details that identify you or your business. Sole traders and limited companies have additional naming requirements, so check the official rules for your business type.

2. Identify your customer

Add the customer or business you are invoicing so the document clearly shows who is expected to pay.

3. Give the invoice a unique number

Use a unique invoice identification number. A simple consistent numbering system also makes your own records easier to manage.

4. Describe what you supplied

Explain the goods or services clearly and include the relevant supply date. Break down charges so the customer can understand the total.

5. State the amount due

Show the amounts charged, VAT if applicable and the total owed. Add clear payment terms so the customer knows when and how to pay.

6. Check, save and keep a record

Review the finished invoice before sending it. Self-employed people need to keep appropriate records of business income and expenses, including supporting documents such as sales invoices.
